The following enhancements have been requested by a customer currently testing the Medication tab under client profiles. These are being submitted as a consolidated feature request: Administered vs. Prompted Toggle – Add a checkbox/radio in the vWorker medication form allowing workers to specify whether medication was Administered (physically given) or Prompted (verbally reminded). Rename "Tablets Checked" to "Medication Checked" – Current wording is misleading for non-oral medications such as eye drops, ear drops, creams, and topicals. "Medication Refused" Status – Add a dedicated Medication Refused outcome rather than grouping it under the generic Not required / Not given status, to support compliance and audit requirements. Attach Medication to Closest Shift – Allow medication templates to attach to the nearest rostered shift rather than requiring an exact time overlap, to accommodate shift flexibility of 30+ minutes. Flexible Time Window Allocation – Support a time range (e.g., 08:00–10:00) for medication templates instead of a single fixed time point. Daily Medication History Visible in vWorker – Allow workers on subsequent shifts to view earlier medication records for the same client on the same day to support safe handover and prevent missed/double doses. "Case Manager 2" Column in Client Medication Report – Add a secondary case manager column to the Client Medication Report for organisations with split care coordination.

The location roster profile list under Maintenance currently offers Code, Case Manager, Area, Facility Status and Description as columns. Phone Number and Email are held against each location profile but are not available in the column chooser, so they cannot be added to the view or included in an export. Providers running multiple sites use this list to pull location details in one place. Without these two fields they have to open each location profile individually to retrieve a phone number or email address, which is slow where there are a large number of locations. Request: expose Phone Number and Email as selectable columns in the location roster profile list column chooser, so they can be displayed and exported alongside the existing fields. From 1 October 2026, the government is making personal care fully funded under Support at Home, so participants no longer pay a contribution towards it. We're updating SAH quotes so personal care calculates with no participant contribution from that date, flowing through to the service agreement. Claiming, invoicing, statements and dashboards already draw participant and government amounts from Services Australia, so those update automatically with nothing for you to reconfigure.

Description: Care Management entries recorded by Care Partners appear on the client-facing Client Roster report alongside rostered services. Clients read these entries as scheduled visits, which causes confusion about when a worker is actually attending. Current behaviour Care Management entries appear on the Client Roster report with no option to exclude them. The only workaround is to generate the report from Friday rather than Monday to avoid showing past dates, which produces a non-standard Friday to Thursday week and isn't usable as a regular client-facing document. Requested behaviour Add an option to exclude Care Management entries from the client-facing Client Roster report, while retaining them in the system for budget tracking, claiming and reporting. Benefit Clients receive a roster showing only the visits they can expect, which removes the confusion. Providers keep a standard Monday to Sunday reporting week rather than having to shift the start day. Care Management time stays intact for the 10% Care Management budget, claiming and monthly statements. Raised by: Sean, RAH

The client profile bulk import CSV template does not currently include a number of fields that providers routinely need to populate when onboarding clients. Because they are missing from the template, these have to be entered manually on each client profile after the import has run, which removes much of the benefit of a bulk import where there are large numbers of clients. Request: add the following fields to the client profile bulk import template. From the client profile: Funding Type From the Details tab of the client profile: Place of Birth Living Circumstances MyAgedCare No ACMPS English tickbox CALD tickbox Several of these are needed for reporting and compliance rather than being optional, so having to add them individually after import creates a meaningful amount of manual work. Description: When a shift is created via Rapid Rostering, the service-level Is Sleepover / Fixed Fee flag is not carried through to the roster item — it's currently hardcoded to 0 regardless of the selected service's configuration. This causes the downstream timesheet calculation to bill based on actual shift duration (e.g. 0.5 hrs × rate) instead of the correct fixed 1 unit × rate for Fixed Fee/Sleepover services. Standard rostering already reads and passes this value correctly from the selected service — Rapid Rostering is the only entry point affected. Impact: Over 200 incorrectly billed line items identified for St Louis Community Care so far, and any other client using Fixed Fee/Sleepover services with Rapid Rostering is potentially affected. Requires manual identification and correction of historical timesheets until this is addressed. Requested fix: Update Rapid Rostering to read the selected service's Is Sleepover / Fixed Fee value (the same way standard rostering does) and pass it through when creating the roster item, so FixedFee is set correctly at creation time. No changes needed to the underlying timesheet/pricing calculation logic — it already handles FixedFee = 1 correctly.

Who it's for: NDIS providers managing participant agreements with structured funding periods. What it solves: NDIS plans are increasingly structured around quarterly funding blocks, but most care management systems still treat agreements as a single lump sum. This means providers have limited visibility into how much has been spent, rostered, or remaining within each quarter - making it hard to manage budgets proactively. When a funding period rolls over, teams are manually recreating agreements, duplicating rosters, and reconciling spend across periods. The administrative overhead grows with every participant, and the risk of overspending a quarterly block - or under-utilising available funds - increases without clear, period-level tracking. What we're exploring: Quarterly budget visibility within participant agreements - so providers can see budget, rostered, actual, and remaining at a per-period level Automatic rollover of unspent funds into the next quarter Reducing the need to manually recreate agreements every funding period Clearer reporting across participants to track quarterly utilisation at scale Why it matters: As the NDIS moves toward more structured funding periods, providers need tools that match - not workarounds that add admin. Getting this right means stronger financial governance, less manual work, and confidence that participant funds are being managed responsibly.

Who it’s for: NDIS providers, plan managers, and admins responsible for funding setup, budgeting, and direct claims. What it solves: Reduces double-handling and gives providers access to live plan data, budget visibility, and direct claiming with the NDIA What’s coming: Live plan & budget sync: Pull real-time NDIS plan details directly from the NDIA using secure API integration. Direct claiming: Submit claims directly through the NDIA API - no CSV uploads required. Live budget tracking: View up-to-date participant budgets and plan item balances inside Visualcare. Error resolution on submission: If a claim fails, you’ll receive instant feedback to correct and resubmit. Timeline: Closed pilot phase: Now live in a testing environment for select providers Why it matters: Reduces admin overhead, enables faster, more accurate claims, and improves funding visibility across the care lifecycle.

Who it's for: Rostering coordinators, operations managers, and anyone responsible for building and managing care rosters in Visualcare. What it solves: Rostering in care is complex. Coordinators juggle worker availability, travel, split shifts, and compliance - often across multiple screens and workflows. When things don't connect, it means more manual effort, more workarounds, and more time spent on admin instead of care. We're working with providers to understand where rostering creates the most friction, and these are the areas we're focused on improving. What's coming: A unified timeline view - one consistent place to build, view, and manage rosters Conflict and availability visibility at a glance - no more manually editing shift times by 1 minute to assign an available worker Auto-fill and travel optimisation to reduce manual scheduling effort Improved split shift handling for location rosters Travel/KM improvements so travel can be managed during roster creation, not after the fact Why it matters: Rostering coordinators spend too much time fighting the system instead of building great rosters. This is a major step toward a faster, more intuitive rostering experience - less time on workarounds, fewer errors, and a system that works the way you'd expect it to.
